How to Use Folders to Organize Your QR Codes
Give every QR code a home with color-coded, nested folders. Perfect for agencies managing multiple clients, restaurants with many locations, or any team that needs instant clarity.
Why Folders Matter
Folders keep every QR code campaign aligned with the way your team actually works. They show up everywhere—sidebar shortcuts, move dialogs, and the dedicated Folders page—so you always know what belongs where.
Color-coded at a glance
Colors travel with the folder—sidebar links, move modals, and QR tables reuse the same chip so teams build muscle memory.
Unlimited nesting
Need Clients → Campaigns → Channels? Add a parent folder during creation for as many levels as you need.
Safe clean-up
Deleting a folder simply moves its QR codes back to “No Folder” and lifts children to the root, so nothing stops scanning.

Move to Folder modal
Pick any folder or “No Folder” without leaving the QR list. It’s the fastest way to keep things organized.
Step-by-Step: Build Your Folder System
Follow these four moves to go from a messy list to a tidy workspace.
Open the Folders workspace
From the dashboard sidebar choose QR Codes → Folders. You’ll land on a dedicated page with a “Create a Folder” form plus a live tree of everything that already exists.
Need a shortcut? The sidebar’s Folders widget lets you create folders inline without leaving the current page—click the “+” icon, name it, pick a color, and it syncs everywhere instantly.
Create a folder with color and (optional) parent
Fill out the form with a clear name (e.g., “Client • Launch 2025”). Choose a color chip—the same color shows up in the sidebar list, on folder badges, and inside move dialogs so teams recognize it instantly.
Want hierarchy? Select a parent folder from the dropdown. Any folder can become a parent, and you can rearrange later by editing the folder and choosing a different parent.
Review and refine your tree
The tree automatically sorts folders alphabetically at each level, so adopt prefixes like “01 - Awareness” if you need manual ordering. Inline edit buttons on each folder let you rename or recolor without refreshing.
Move QR codes into place
In the QR list, open the three-dot menu for any code and click Move to Folder. The modal loads every folder (plus a “No Folder” option) via AJAX so you can reassign in seconds.
On the QR detail page you’ll find the same action inside the top-right menu. After you confirm, the page flashes a success toast and reloads so the new folder badge is visible immediately.
Need to find everything already inside a folder? Click the folder name in the sidebar; it opens /qr?folder=FOLDER_ID with that filter applied.
Folder Playbook
Use these proven structures to keep large QR libraries sane.
Campaigns & Channels
- Top level: brand or client
- Mid level: campaign (“Spring Launch”)
- Nested: channel (“Out of Home”, “Email”)
- Use bold colors for priority launches
Locations & Teams
- Create a folder per region, then city
- Drop menu, signage, or staffing QR codes inside
- Share direct links (`/qr?folder=`) with local managers
- Archive retired locations by moving folders to “Archived” parent
Lifecycle & Ownership
- Use prefixes like “00 - Draft”, “10 - Live”, “90 - Sunset”
- Assign different colors per lifecycle to reinforce status
- Encourage teams to move QR codes forward as campaigns mature
Move & Audit Existing QR Codes
The “Move to Folder” modal appears in both the QR list and detail pages. It loads folders via /folders so you always see the latest names, colors, and QR counts.
- • List view: click the three-dot menu → Move to Folder. The modal remembers your selection until you close it, so you can rehome several QR codes quickly.
- • Detail view: use the action menu in the hero. After saving, the page reloads automatically so analytics, badges, and breadcrumbs match.
- • Remove a folder: choose No Folder at the top of the modal to reset a QR code back to the root.
-
•
Filter by folder: the sidebar folder list links to
/qr?folder=..., which applies a server-side filter for fast auditing.
Safety Nets & Automation Hooks
- Deletion is reversible Deleting a folder does not delete QR codes. We automatically move every code back to the root and detach child folders so nothing breaks.
- Account-scoped security All folder requests run through the current account context. Team members only ever see folders for the account they’re switched into.
